About the position

The Administrative Assistant Senior Representative at Cigna Healthcare plays a crucial role in providing high-level administrative support to the Market Growth Leader and the local market leadership team. This position involves a variety of responsibilities that require initiative, judgment, and a thorough understanding of company policies and procedures. The role is hybrid, requiring in-office work on Tuesdays, Wednesdays, and Thursdays at the Cigna Healthcare office located at 1571 Sawgrass Corporate Parkway, Sunrise, Florida, while Mondays and Fridays are designated for remote work. The daily working schedule typically runs from 8:00 AM to 4:30 PM or 5:00 PM, with no expectations for holiday or weekend work, and minimal overtime is available but not required. In this role, the Administrative Assistant will be responsible for managing calendars, preparing and updating presentations, and providing comprehensive meeting and event support. This includes preparing meeting materials, ensuring appropriate space setup and cleanup, managing catering, and assisting with various projects within a high-traffic sales office. The position also involves supporting local community and civic affairs events, managing office supplies and promotional items, and maintaining the budget for management. The Administrative Assistant will communicate professionally with internal partners, brokers, and clients, and may also back up other administrative professionals as needed. The ideal candidate will have a strong background in administrative support, particularly in a fast-paced environment, and will be detail-oriented with exceptional follow-up skills. They will need to demonstrate strong organizational abilities, the capacity to manage multiple projects simultaneously, and the ability to meet tight deadlines while anticipating the needs of customers and business partners. Additionally, experience in budgeting or accounting is preferred, along with a general understanding of the health insurance sales process and familiarity with Salesforce.

Responsibilities

  • Provides executive administrative services for Market Growth Leader and local market leadership team, including calendar management, expense reporting, and other support.
  • Produces and updates presentations and other materials, including editing in PowerPoint, Excel, and Word.
  • Performs meeting and event support, such as preparing meeting materials and notes, ensuring appropriate space set up and clean up, catering management, and any other projects as needed.
  • Supports local community and civic affairs events, assisting with event planning, management, and breakdown.
  • Assists with various projects within a high traffic sales office, including office initiatives, mail and office supply management, and facility oversight.
  • Orders all office supplies and promotional items and maintains the budget for management monthly and year-end.
  • Assists with printing requests, including printing, binding, and shipping materials.
  • May support segment-level administrative services projects in partnership with other local offices.
  • Communicates professionally and collaborates with internal matrix partners, brokers, and clients.
  • Backs up other administrative professionals when needed.
  • Performs additional responsibilities as assigned.

Requirements

  • 1+ years experience as an Administrative Assistant, with demonstrated ability to support senior leaders, strongly preferred.
  • 1+ years experience with office or facility management strongly preferred.
  • Strong computer-based technical skills including Outlook, Word and internet/web navigation, strong knowledge base of Microsoft Excel, required.
  • Project management experience preferred.
  • Health insurance background with general understanding of the overall sales process and knowledge of Salesforce.
  • Strong written & verbal communication skills.
  • Strong problem-solving and analytical skills.
  • Detail oriented with exceptional follow-up skills.
  • Ability to work in a production-like, fast-paced environment and adapt quickly to change, with the ability to manage, prioritize and work on numerous projects at one time.
  • Strong organizational skills with the ability to work both independently and in a team environment.
  • Ability to consistently meet tight deadlines and work under pressure while anticipating the needs of the customer and/or business partner and understanding the consequences of actions.
  • Budgeting or accounting experience preferred.
