About the position

Join Purdue University Fort Wayne as a Senior Administrative Assistant in the Dean's Office of the College of Liberal Arts. This full-time, on-site position is essential for providing clerical support to the Dean's Office and various academic programs within the College. The successful candidate will play a key role in assisting with the college's marketing and outreach efforts, which include summer youth camps, student recruitment, alumni engagement, and managing social media platforms. We are looking for someone who thrives in a collaborative environment, can effectively manage multiple tasks, and has a passion for the liberal arts and the mission of our College. The hourly wage for this position ranges from $16.98 to $18.68. As a Senior Administrative Assistant, you will be responsible for a variety of tasks that support the College's faculty, staff, students, and visitors. Your role will involve maintaining the College's website and social media accounts, enhancing alumni outreach, and coordinating with marketing personnel on communication projects. You will also develop content for public relations, including a college newsletter, and manage its distribution. Utilizing systems such as Banner, COGNOS, and myBluePrint, you will assist the Dean with research queries and provide data for special initiatives, including outreach and retention efforts. Additionally, you will coordinate college-level events and provide clerical support to advisors and student records staff, as well as assist interdisciplinary programs and graduate program directors with recruitment initiatives. Your responsibilities will also include managing the schedule of courses and course evaluations for the core college requirement, IDIS 10605, and assisting instructors with special events and projects. Other special projects may be assigned as needed.

Responsibilities

  • Provide assistance to College faculty, staff, students, Dean, and visitors.
  • Maintain the College's website and social media accounts and spearhead community outreach efforts.
  • Build and maintain alumni records and enhance alumni outreach.
  • Coordinate with marketing support personnel on communication and marketing projects.
  • Develop content for public communication/relations, including a college newsletter, and manage its distribution.
  • Use Banner, COGNOS, and myBluePrint to assist the Dean with research queries and provide data for special initiatives.
  • Assist with the functions of the College, including coordination of college-level events.
  • Provide clerical support to College advisors and student records staff.
  • Provide administrative support to interdisciplinary programs and assist graduate program directors with recruitment initiatives.
  • Manage the schedule of courses and course evaluations for IDIS 10605 and assist instructors with special events/projects.
  • Assist with other special projects as assigned.

Requirements

  • High School diploma or GED.
  • 2 years of relative experience in social media management and content creation.
  • Knowledge of or ability to learn Microsoft Word, Excel, Outlook, Student Information Systems (including Banner), and webpage editing platforms (currently, Drupal).
  • Detail-oriented with effective time management skills.
  • Excellent written and verbal communication skills.
  • Knowledge of social media platforms and interest in creating written content for newsletters.
  • Ability to maintain strict confidentiality and adhere to FERPA regulations.
