About the position

The Administrative Assistant position at Schwartz & Associates CPA is a full-time role focused on providing essential administrative support to a successful CPA firm. The ideal candidate will be a team player with a positive attitude, responsible for maintaining office operations, assisting clients, and supporting the firm's professionals in various tasks. Responsibilities

  • Act as the first point of contact for clients, providing exceptional client service.
  • Greet and direct visitors; answer and route incoming phone calls.
  • Ensure the office is well maintained and organized.
  • Assist with processing tax returns and preparing general correspondence and reports.
  • Support CPAs and other staff with general administrative tasks and data entry.
  • Assist with website and client portals with support from outside software vendors.
  • Contribute to the firm's marketing program and manage social media sites.

Requirements

  • Minimum 1 year of general office/reception experience.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Outstanding customer service skills.
  • Attention to detail and high level of professionalism.
  • Excellent communication skills and professional demeanor.
  • Organized and dependable self-starter capable of managing multiple tasks.

Nice-to-haves

  • Light bookkeeping skills are a plus, yet training is available.
  • Data entry skills are also a plus, but not required.
