About the position

The position involves providing secretarial and administrative support to attorneys within the Central Legal Staff, ensuring efficient operation of the office while maintaining confidentiality and attention to detail. The role requires adaptability to new responsibilities and the ability to meet multiple daily deadlines.

Responsibilities

  • Perform operation support duties for attorneys within Central Legal Staff.
  • Use the Court's case management system for electronic case file maintenance and management (PACMS).
  • Learn and apply standard formats for correspondence and specialized legal documents.
  • Perform standard secretarial tasks, including filing and preparing documents and correspondence.
  • Assist the Administrative Supervisor with duties such as circulating motions and orders electronically to Chambers.
  • Enter and maintain electronic voting records and track voting records.
  • Assign motions/filings to attorneys and prepare, proofread, and transmit standard orders for filing.
  • Coordinate workflow-routing and ensure case or motion completion dates are met.
  • Monitor progress of assignments through a complex system of electronic flags and events.
  • Perform daily quality control review of PACMS entries.
  • Provide support functions for the office, including operating office equipment and maintaining case files.
  • Sort, review, and distribute mail and email, and answer the main phone line.
  • Order and maintain office supplies and update the Central Legal Staff library.
  • Approve and submit bills for processing and submit business expense vouchers.
  • Arrive at work on time and cooperate with Chambers, supervisors, and co-workers.
  • Assist and provide backup to other Central Legal Staff Secretaries as necessary.
  • Perform other administrative support duties as required.

Requirements

  • Minimum of two years of experience in a professional, legal, or court setting performing clerical support services.
  • Competent with spelling, punctuation, and grammar as well as general office practices and procedures.
  • Proficiency in Microsoft Office Suite 365.
  • Experience in proofreading.
  • Ability to maintain a high level of integrity in job performance.
  • Satisfactory criminal background check required.

Nice-to-haves

  • Prior experience with or before the Pennsylvania appellate courts is preferred but not required.
