About the position

The Administrative Assistant Supervisor at the Fred Hutchinson Cancer Center is responsible for supervising support staff within the GUMO research program, coordinating program operations, and acting as a liaison between the program and external organizations. This role involves providing high-level support to physicians, managing staff activities, and promoting team development while ensuring adherence to program goals and standards.

Responsibilities

  • Supervise and direct the work of Administrative Assistants and others.
  • Complete necessary forms and processes for hiring new positions, complete interviews and select staff.
  • Onboarding and offboarding staff as necessary utilizing appropriate policies and processes.
  • Provide recommendations and support in disciplinary action plans.
  • Manage employee schedule, timesheets, leave requests, and more.
  • Develop, track and provide feedback on job performance standards, including annual performance evaluations.
  • Support budget and operational team with developed and maintained reports.
  • Recommend staffing changes as needed based on operational needs.
  • Assist with system enhancements to create, execute, and report on the organizational unit's key performance indicators.
  • Collaborate with leadership to create, enhance and report on the organizational unit's annual budget, metrics, goals, and objectives for the staff.
  • Implement and provide quality control on administrative policies and standards.
  • Lead high level projects as assigned.
  • Organize and facilitate staff meetings.
  • Perform the work of Administrative Assistant 1, 2, 3, and Lead.
  • Perform other duties as assigned.

Requirements

  • Requires High School/GED AND five years of office or administrative support experience to include one year of experience as a lead or supervisor OR an equivalent combination of education and experience.

Nice-to-haves

  • Experience with UW and Department of Medicine systems, such as Workday, SAGE, EPIC, etc.
  • Understanding of clinical trials research processes and grant application cycles.
  • Excellent oral and written communications skills.
  • Outstanding attention to detail.
  • Ability to work independently and prioritize tasks.
  • Maintain a high degree of confidentiality.
  • Excellent Microsoft Outlook, Word and Excel skills.
