About the position

The Administrative Assistant Support role at HKA Enterprises is a part-time, contract position focused on providing essential administrative and front desk support for Jacobs. This position is critical in maintaining the smooth operation of the office, ensuring that teams can focus on their work while delivering excellent customer service to visitors and clients. The role involves multitasking, effective communication, and collaboration within a fast-paced environment.

Responsibilities

  • Provide reception/front desk support and administrative assistance.
  • Answer and appropriately direct incoming calls and greet visitors.
  • Maintain a neat, organized, and safe office environment.
  • Manage conference room usage, reconcile conflicts, and post schedules.
  • Assist with meeting set-up, including procuring food and equipment.
  • Escort caterers to conference rooms as needed.
  • Maintain guest and visitor sign-in/out logs and oversee access badge distribution.
  • Deliver excellent customer support to internal staff, external clients, visitors, and vendors.
  • Submit catering invoices for payment through the Concur system.

Requirements

  • High school diploma or equivalent required.
  • 1 year of experience in Microsoft Word required.
  • 1 year of experience in administrative roles required.
  • 1 year of experience in customer service required.
  • Proficiency in Microsoft Office skills (Word, Excel, Outlook, MS Teams).
