This clerical position involves a variety of administrative and HR responsibilities aimed at supporting the operations of the organization. The role requires effective communication, organization, and attention to detail to manage inter-departmental documents, facilitate meetings, and assist with HR processes. The position also emphasizes courteous interaction with consumers and co-workers, ensuring a respectful and sensitive approach to all tasks.

Responsibilities

  • Delivers inter-departmental documents
  • Organizes meetings including luncheons, special events, and conference calls
  • Processes conference requests and purchase orders
  • Facilitates projects as assigned by supervisor
  • Performs receptionist duties for the Administration building
  • Conducts pre-employment meetings with new hires to collect necessary information
  • Sends completed paperwork to Employment Assistant
  • Conducts HR portion of new hire orientation
  • Triages calls to appropriate HR representatives
  • Assists with employee communication as needed
  • Ensures money management procedures are followed
  • Assists with completion and filing of payee documentation
  • Coordinates with benefit specialist regarding payee benefit status
  • Assists with processing of mail
  • Works with AltaPointe staff to ensure timely reporting of payee balances
  • Makes deposits as needed
  • Treats consumers, visitors, and co-workers with care, dignity, and compassion
  • Respects privacy and confidentiality of others
  • Participates in Performance Improvement activities
  • Participates in AltaPointe committees as required
  • Follows AltaPointe policies and procedures

Requirements

  • High School diploma or equivalent
  • 2 years' experience in an administrative support role
  • Medical or behavioral healthcare experience preferred
  • Excellent oral and written communication skills
  • Excellent interpersonal skills
  • Advanced computer skills
  • Attention to detail
  • Ability to withstand continual deadlines despite interruptions
  • Highly organized
  • Sensitive to confidential matters
  • Uses judgment in carrying out work
  • Ability to work independently
  • Demonstrable knowledge of typing 40 wpm
  • Fluent use of Microsoft Office products like Word and Excel
  • Ability to use standard office equipment such as computers, phones, copiers, and fax machines
  • Mastery of phone system within 6 months
