About the position

Diagnostic Laboratory Services, Inc. (DLS) is seeking a dedicated Administrative Assistant to support the technical areas of our laboratory. As Hawaii's largest locally owned and operated medical testing laboratory, DLS plays a crucial role in patient care by utilizing state-of-the-art testing and value-based informatics to enhance patient outcomes. This full-time position requires a commitment to excellence and flexibility to adapt to operational needs. The Administrative Assistant will be responsible for a variety of tasks that include scheduling meetings, preparing memos, reports, and presentations, as well as maintaining various systems such as EP Evaluator, QC On-Call, and the Test Information Library (TIL). The role also involves serving as a document administrator for the document management system and performing special project work as assigned. The ideal candidate will be proficient in Microsoft Office applications and possess strong organizational skills to manage records, documents, and files effectively. Responsibilities include gathering and refining data for reports and presentations, coordinating meetings, and ensuring that all logistical requirements are met. The Administrative Assistant will also be expected to communicate relevant information to team members and maintain a positive work climate while adhering to safety and health regulations. This position is essential in supporting the overall performance and strategy of DLS by contributing to quality improvements and maintaining confidentiality in accordance with company policies. Candidates must be available to work Monday through Friday from 8:00 am to 4:30 pm, with flexibility to accommodate schedule changes as needed. The hiring range for this position is $19.00 to $22.96 per hour, depending on experience. Responsibilities

  • Prepares, maintains and manages records, documents, and files as assigned.
  • Gathers, assembles, and refines data as needed to complete memos, reports, presentations, etc.
  • Files for various committees, departmental projects, and departmental functions.
  • Coordinates, facilitates and/or manages special projects as assigned.
  • Serves as a document administrator for the technical departments.
  • Coordinates meetings as requested, including scheduling appropriate meeting dates/times and arranging logistical requirements.
  • Prepares meeting agenda and appropriate backup materials, and distributes meeting materials to participants.
  • Records, transcribes, and distributes minutes of meetings, and maintains accurate files as needed.
  • Functions as a super-user of applicable software programs and provides training as needed.
  • Monitors and disseminates test information changes to users.
  • Participates in the development of departmental plans and policies, conducting research as needed.
  • Coordinates and schedules pipet calibrations.
  • Performs other duties as required.

Requirements

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Two (2) years of work experience in an office setting, performing administrative duties.
  • One (1) year of experience working with customers, exhibiting a high level of professionalism.
  • Ability to communicate effectively in English, both verbal and written.
  • Ability to work effectively both independently and as part of a team.
  • Excellent customer service skills.
  • Typing/Keying: 95% accuracy at thirty (30) words per minute.
  • Intermediate personal computer skills, including Microsoft Word, Microsoft Excel, Microsoft Outlook, and routine database activity.

Nice-to-haves

  • Two (2) years in business school preferred.
  • Laboratory experience preferred.
  • Facilitator and/or Project Manager experience preferred.
