About the position

The Administrative Assistant to the CFO provides essential administrative support to the Chief Financial Officer and the Finance Department Managers. This role requires strong interpersonal skills, effective communication, and the ability to manage complex schedules while working independently or as part of a team.

Responsibilities

  • Provides administrative support to the CFO and Finance Department Managers.
  • Performs general administrative and clerical support including mailing, scanning, faxing, and copying to management.
  • Maintains electronic and hard copy filing systems.
  • Prepares, modifies, and distributes documents including correspondence, reports, drafts, memos, and emails.
  • Answers and directs phone calls to relevant staff.
  • Schedules meetings and appointments.
  • Takes notes during meetings.
  • Greets and assists visitors to the office.
  • Works in Microsoft Word and Excel on a daily basis.
  • Researches and creates PowerPoint presentations.
  • Sorts mail and facsimile correspondence and distributes accordingly.
  • Manages busy schedule and calendar for the CFO.
  • Screens and monitors calls, fields questions, and forwards them to the appropriate person.
  • Develops and maintains paper and electronic filing systems into readily retrievable formats.
  • Prepares expense reports with appropriate and timely follow-up.
  • Serves as liaison between the Office of the CFO and its reporting units.

Requirements

  • High school diploma or GED required.
  • At least one year of administrative assistant experience preferred.
  • Good typing, computer, and organizational skills.
  • Knowledge of the use of office equipment, including computer literacy.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to handle confidential information with exceptional judgment and discretion.
  • Ability to set priorities, handle multiple assignments, and work with diplomacy and efficiency in a highly pressured environment.
  • Outstanding ability to manage deadlines and relate to all levels of personnel.
