About the position

The Administrative Assistant to the Chief Clinical Officer plays a crucial role in supporting the operations of a remote healthcare organization. This position involves managing various administrative tasks, including overseeing the Learning Management System (LMS), coordinating recruitment and onboarding processes, and ensuring smooth communication within the team. The ideal candidate is detail-oriented, proactive, and capable of multitasking in a fast-paced environment, contributing to the overall efficiency and effectiveness of the organization.

Responsibilities

  • Manage the Chief Clinical Officer's calendar and ensure meetings are organized and deadlines are met.
  • Coordinate recruiting efforts, including scheduling interviews and managing candidate communications.
  • Anticipate needs and proactively address tasks before they arise.
  • Oversee the Learning Management System (LMS), managing user access and tracking training progress.
  • Act as the global admin and super user for various complex applications, providing troubleshooting and user support.
  • Update and add course content to the LMS, ensuring timely delivery of materials.
  • Utilize Excel to manipulate data, create reports, and build dashboards for insights.
  • Track and present progress on OKRs (Objectives and Key Results) to drive results.
  • Assist the credentialing department with applications, ensuring accuracy and completeness.
  • Handle multiple tasks, including team support, report preparation, and project coordination.
  • Support HR functions by maintaining accurate and confidential employee records.
  • Be flexible and willing to assist with tasks outside of the primary job description.

Requirements

  • Proven experience as a remote administrative assistant with the ability to work independently.
  • Experience in recruiting coordination and onboarding processes.
  • Ability to anticipate needs and proactively address them.
  • Familiarity with Learning Management Systems (LMS) is preferred.
  • Experience as a super user and global admin for complex applications, with troubleshooting skills.
  • Proficiency in Excel for data manipulation, report creation, and dashboard building.
  • Strong communication skills for effective interaction via email, calls, and presentations.
  • Ability to meet and exceed deadlines consistently.
  • Proficient in MS Office and app management tools.
  • Understanding of OKRs and experience in data-driven reporting.
  • Experience in credentialing processes is a plus.
  • HR records management experience is advantageous.
  • Ability to quickly add course content to LMS platforms.
