About the position

The Administrative Assistant to the Chief Information Officer (CIO) plays a crucial role in providing comprehensive administrative support to the CIO and the IT division at LCEC. This position focuses on managing the IT division's budget, vendor relationships, and administrative processes, ensuring efficient operations and excellent service delivery to both internal and external stakeholders.

Responsibilities

  • Serve as the liaison between the IT division and internal/external customers, providing excellent administrative and customer service.
  • Manage, develop, and track the multi-million dollar IT division budget, including preparing the annual budget and coordinating information gathering.
  • Act as the IT financial gatekeeper for vendor requests, renewals, and invoices, ensuring accuracy and timely processing.
  • Manage the CIO's calendar, schedule appointments, and assist with meeting planning and scheduling.
  • Manage the IT private SharePoint site and maintain IT files, including budget spreadsheets and vendor contracts.
  • Prepare, edit, and proofread correspondence, documents, newsletters, and reports for the CIO and IT department heads.
  • Identify process enhancements and propose solutions for IT administrative processes.
  • Coordinate event planning and logistics for IT meetings and workshops.
  • Process travel arrangements and registrations for IT staff, ensuring compliance with travel policies.
  • Order and maintain office supplies for the IT division.

Requirements

  • Associate's degree in business administration or related field (Required).
  • 5 to 7 years of progressively responsible experience in a professional support position or executive level administrative assistant level (Required).
  • Previous accounting experience developing and tracking a company and/or department budget (Required).
  • Strong proficiency with Microsoft Office Professional Suite (Required).
  • Strong organizational skills and ability to manage multiple tasks in a fast-paced environment (Required).
  • Excellent verbal and written communication skills (Required).
  • Previous experience in Visio (Required).
  • 5 to 7 years of experience in an IT environment, including applications like SharePoint (Preferred).

Nice-to-haves

  • Bachelor's degree in accounting, business administration or related course of study (Preferred).
  • 5 to 7 years of experience in office management (Preferred).
  • Experience with process modeling tools (Required).
