About the position

The Administrative Assistant to the Chief of Staff at Akron Public Schools is a highly responsible role that provides personal and technical support to a senior executive. This position requires a high degree of confidentiality and discretion, as the assistant will represent the Chief of Staff in official capacities and manage sensitive information. The role involves coordinating legal services, managing the Chief of Staff's calendar, and ensuring effective communication within the district and with external stakeholders.

Responsibilities

  • Serve as personal, confidential, and technical assistant to the Chief of Staff.
  • Maintain confidentiality in all job-related duties.
  • Support legal office and coordinate legal services for all district departments.
  • Work closely with outside legal counsel to provide various legal services to the District.
  • Assist with coordinating public records requests and may research records or legal matters as needed.
  • Attend meetings, record minutes, and compile complex reports and correspondence.
  • Make travel arrangements for the Chief of Staff and coordinate professional development when needed.
  • Maintain the Chief of Staff's calendar, schedule meetings, and prepare necessary materials.
  • Establish and maintain records, systems, and procedures for office administration.
  • Coordinate the department budget and order materials and supplies as needed.
  • Independently compose and prepare correspondence for the administrator's signature.
  • Serve as a liaison with parents, community, and inter-agency personnel.
  • Prioritize and distribute mail and other communications to appropriate administrators.

Requirements

  • High school diploma or GED required; Bachelor's degree in business or relevant field preferred.
  • Minimum of five years of progressively responsible office support work, preferably supporting a senior executive.
  • Excellent keyboarding, grammar, punctuation, communication, organizational, and technology skills.
  • Demonstrated ability to work well with administrators, staff, and community members.
  • High degree of discretion and confidentiality.

Nice-to-haves

  • Experience in a legal office administration setting.
