About the position

The Port of Corpus Christi Authority (PCCA) is seeking a dynamic Administrative Assistant to support the Chief Operating Officer (COO). This role involves performing complex administrative tasks, managing daily operations, and providing essential support to the COO and related departments. The position requires a detail-oriented individual who can effectively handle multiple tasks while maintaining a high level of professionalism and integrity.

Responsibilities

  • Provides general secretarial and receptionist support to the COO and related departments
  • Manages daily administrative operations in support of organizational and department objectives
  • Prepares complex documents including presentations and special reports as requested
  • Coordinates calendars and schedules for PCCA related meetings, seminars, and travel
  • Prepares travel arrangements and expense reports for domestic and international travel
  • Arranges meetings and provides clerical support including typing and proofreading
  • Records department meetings and transcribes minutes as requested
  • Assists with the development and implementation of departmental reporting procedures
  • Orders and maintains supplies as necessary
  • Composes letters, e-mails, and memorandums in final form
  • Answers and fields incoming telephone calls and maintains general office files
  • Facilitates meeting preparations including agenda development and room setup
  • Requisitions the purchase of goods and services as needed
  • Promotes safety and environmental awareness and complies with all applicable procedures
  • Adheres to all PCCA policies and promotes teamwork
  • Drives a vehicle to complete assigned tasks and works necessary hours to fulfill position objectives
  • Other duties as assigned

Requirements

  • High school diploma or equivalent
  • Minimum two years formal education from an accredited college or university preferred
  • Ability to obtain and maintain a Transportation Worker Identification Credential (TWIC) during course of employment
  • Valid driver's license
  • Minimum five years' experience in administrative duties or acceptable equivalent experience
  • Advanced secretarial skills with proven organizational and time management skills
  • Solid interpersonal skills and ability to deal effectively with the public and management
  • Ability to collaborate and demonstrate problem-solving skills
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Ability to prepare clear and concise reports and correspondence
  • Ability to follow complex oral and written instructions

  • CPR certified or ability to become certified within the first year
