About the position

The Port Corpus Christi Authority (PCCA) is seeking a dynamic professional to provide complex administrative support to the Chief Operating Officer (COO). This role involves managing daily administrative operations, preparing documents, coordinating schedules, and facilitating meetings to ensure the smooth functioning of the organization.

Responsibilities

  • Provides general secretarial and receptionist support to the COO and related departments.
  • Manages daily administrative operations in support of organizational and department objectives.
  • Prepares complex documents including presentations and special reports as requested.
  • Coordinates calendars and schedules for PCCA related meetings, seminars, and travel.
  • Prepares travel arrangements and expense reports for domestic and international travel.
  • Arranges meetings and provides clerical support including typing, proofreading, and disseminating directives.
  • Participates in and records department meetings, taking and transcribing minutes as needed.
  • Assists with the development and implementation of departmental reporting procedures and maintains departmental records.
  • Orders and maintains supplies as necessary.
  • Composes letters, emails, and memorandums in final form; types, edits, and proofs reports and other materials.
  • Answers and fields incoming telephone calls, opens and distributes incoming mail, and maintains general office files.
  • Facilitates meeting preparations including agenda development, meeting notices, room setup, and audio-visual resources.
  • Requisitions the purchase of goods and services as needed.
  • Promotes safety and environmental awareness, complying with all applicable procedures and regulations.

Requirements

  • High school diploma or equivalent.
  • Minimum two years formal education from an accredited college or university preferred.
  • Ability to obtain and maintain a Transportation Worker Identification Credential (TWIC) during employment.
  • Valid driver's license.
  • Minimum five years' experience in administrative duties or acceptable equivalent experience.
  • Advanced secretarial skills with proven organizational and time management skills.
  • Solid interpersonal skills to deal effectively with the public and varying levels of management.
  • Ability to handle multiple tasks and set priorities.

Nice-to-haves

  • CPR certified or ability to become certified within the first year of employment.
  • Proficiency in Microsoft Office at an Intermediate level or above.

  • Competitive salary range of $56,222.40 - $71,416.80 per year.
