About the position

The Administrative Assistant to the Chief Operating Officer (COO) at the Port of Corpus Christi Authority (PCCA) plays a crucial role in providing comprehensive administrative support to the COO and related departments. This position involves managing daily operations, preparing complex documents, coordinating schedules, and facilitating meetings, all while ensuring effective communication and organization within the department. The ideal candidate will be detail-oriented, professional, and capable of handling multiple tasks in a fast-paced environment.

Responsibilities

  • Provides general secretarial and receptionist support to the COO and related departments.
  • Manages daily administrative operations in support of organizational and department objectives.
  • Prepares complex documents including presentations and special reports as requested.
  • Coordinates calendars and schedules for PCCA related meetings, seminars, and travel.
  • Prepares travel arrangements and expense reports for domestic and international travel.
  • Arranges meetings and provides clerical support, including typing and proofreading.
  • Participates in and records department meetings, taking and transcribing minutes as needed.
  • Assists with the development and implementation of departmental reporting procedures.
  • Orders and maintains supplies as necessary.
  • Composes letters, e-mails, and memorandums in final form; types, edits, and proofs reports and other materials.
  • Answers and fields incoming telephone calls, opens and distributes incoming mail, and maintains general office files.
  • Facilitates meeting preparations, including agenda development and room setup.
  • Promotes safety and environmental awareness, complying with all applicable procedures and regulations.

Requirements

  • High school diploma or equivalent required; minimum two years formal education from an accredited college or university preferred.
  • Minimum five years' experience in administrative support or related duties.
  • Ability to demonstrate advanced secretarial skills with proven organizational and time management skills.
  • Solid interpersonal skills to effectively communicate with the public and varying levels of management.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.

Nice-to-haves

  • CPR certified or ability to become certified within the first year of employment.
  • Ability to obtain and maintain a Transportation Worker Identification Credential (TWIC).
