About the position

The Administrative Assistant to Instructional Services provides essential administrative support to the Instructional Services Department, focusing primarily on the Teaching & Learning team. This role involves managing teaching materials, processing purchase orders, maintaining accurate data, and coordinating communication regarding student assessments. The position requires strong organizational skills and the ability to work independently while supporting various administrative functions within the district.

Responsibilities

  • Provides administrative assistance for the acquisition and management of teaching and learning materials
  • Orders curriculum materials and resources for assessments
  • Processes purchase orders for Student Services and SEBMH departments
  • Ensures all purchases are ordered, received and reconciled according to district guidelines
  • Manages digital accounts for Teaching and Learning
  • Maintains accurate data and completes reports related to state funding and programs (Perkins, Title I, Title II, Title IV, PLTW)
  • Completes administrative tasks and processes for training and certification programs
  • Coordinates and distributes communication regarding student assessments and reports
  • Fulfills student transcript and education verification requests
  • Communicates with buildings as needed
  • Performs data entry and maintains monthly budget documentation
  • Assists with coordination of Teaching & Learning events
  • Completes required trainings
  • Provides support to superintendent's office
  • Provides district office support with incoming calls and room reservations
  • Performs other job-related duties as assigned

Requirements

  • High school diploma or equivalent
  • Associates degree in Education or Business Administration preferred
  • Minimum of 2 years administrative experience
  • Experience with Macintosh/PC computer format including Google and Microsoft Suite applications
  • Knowledge of educational services
  • Working knowledge of general office equipment
  • Intermediate level of technology skills; proficient with Google and Microsoft Suite applications
  • Excellent verbal and written communications skills
  • Excellent interpersonal and collaboration skills
  • Excellent record keeping and documentation skills
  • Basic mathematical and accounting skills
  • Ability to work independently, meet deadlines, and problem solve with minimal supervision and direction
  • Ability to adapt to new and changing situations
