About the position

The Administrative Assistant to the Board plays a crucial role in providing paraprofessional level administrative support and specialized functions within the County Manager's office. This position is designed to support the Board of Commissioners and various advisory boards, committees, and commissions. The individual in this role will be responsible for overseeing and supporting the Board of Commissioners and ensuring compliance with Nevada Revised Statutes (NRS) and the Nevada Open Meeting Law. This includes preparing agendas and agenda packets, distributing and posting meeting materials, overseeing the written and digitally-recorded records of proceedings, and preparing minutes for meetings. In addition to these responsibilities, the Administrative Assistant will coordinate the execution and distribution of legal documents such as ordinances, resolutions, agreements, contracts, and leases, ensuring proper long-term storage. The role also involves maintaining public records for advisory boards, compiling information, and preparing special and periodic reports related to the work performed. The Administrative Assistant will attend to various administrative office details, including making travel arrangements, coordinating materials and supply orders, and arranging for equipment purchases and maintenance. The position requires the individual to assist with specific administrative support activities, such as reviewing and tracking proposed legislation, implementing departmental automated systems, and representing the department head as specified. The Administrative Assistant will contribute to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and participating as an active team member. Maintaining accurate records and files, preparing a variety of technical, statistical, and narrative reports, and providing information to the public or County staff are also key components of this role. The individual will utilize various software programs to enter and retrieve data, prepare reports, and operate standard office equipment, all while representing the County with dignity and integrity.

Responsibilities

  • Provide oversight and support to the Board of Commissioners and other publicly-noticed meetings as required by Nevada Revised Statutes (NRS) and Nevada Open Meeting Law.
  • Prepare agendas and agenda packets; distribute and post meeting materials; oversee the written and digitally-recorded record of the proceedings; and prepare the minutes of meetings and proceedings.
  • Coordinate the execution and distribution of legal documents, such as ordinances, resolutions, agreements, contracts, and leases.
  • Maintain the public record for advisory boards; compile information and prepare special and periodic reports related to the work performed.
  • Attend to a variety of administrative office details, including making travel arrangements, coordinating materials and supply orders, and arranging for equipment purchase and maintenance.
  • Assist with and perform specific administrative support activities such as reviewing and tracking proposed legislation and implementing departmental automated systems.
  • Contribute to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and participating as an active member of a team.
  • Maintain accurate records and files related to the areas of assignment.
  • Prepare a variety of technical, statistical, and narrative reports, letters, memos, and other written materials.
  • Provide information to the public or to County staff that requires the use of judgment and the interpretation of policies, rules, or procedures.

Requirements

  • High School diploma/GED; AND four (4) years of administrative support experience in the public sector; OR an equivalent combination of education, training, and experience.
  • Knowledge of County policies and procedures, applicable laws, codes, and regulations, including personnel policies and open meeting laws.
  • Familiarity with the functions and activities of an elected board of commissioners and their advisory boards, commissions, and committees.
  • Proficiency in specified computer applications involving word processing, data entry, and standard report generation.
  • Ability to perform detailed and complex office support work and paraprofessional level analytical and programmatic work.

Nice-to-haves
