About the position

The Administrative Assistant to the CFO and Finance Unit plays a crucial role in providing executive administrative support to the Chief Finance Officer (CFO) and the Finance Unit. This position involves managing sensitive financial information, coordinating tasks, and ensuring efficient office operations. The assistant will be responsible for scheduling, communication, and various administrative duties that support the CFO's daily functions and the overall financial operations of the organization.

Responsibilities

  • Provide executive administrative support to the CFO, including scheduling and communication.
  • Establish a workflow system for the CFO to ensure efficient task management.
  • Proofread reports and correspondence for accuracy and clarity.
  • Monitor the Finance Helpdesk and assign tickets as needed.
  • Manage the CFO's calendar and prioritize internal/external requests.
  • Provide meeting planning support, including note-taking and project prioritization.
  • Attend finance staff leadership meetings to provide administrative support.
  • Monitor the Finance Unit budget and follow up on discrepancies.
  • Administer correspondence and manage incoming mail and email for the CFO.
  • Serve as the primary point of contact for the CFO.

Requirements

  • Related college degree or equivalent work experience.
  • Minimum of five years of executive support experience in an administrative role.
  • Experience in financial administrative support is required.
  • Proficiency in Microsoft Office Suite, especially MS Word, MS Excel, and MS PowerPoint.
  • Excellent written and verbal communication skills.
