About the position

The Administrative Assistant to the Chief Financial Officer/Vice President of Business Affairs (CFO/VPBA) at Bryant University plays a crucial role in ensuring the smooth and efficient operation of the office. This position encompasses a wide variety of routine administrative duties, which may involve confidential and politically sensitive information. The incumbent serves as the central point of contact and liaison for both the internal community and external strategic partners, interacting with all levels of the Bryant community regarding the activities of the CFO/VPBA and the division. The Administrative Assistant is responsible for managing the VPBA's dynamic calendar, coordinating travel arrangements, and organizing meetings, both recurring and singular. They are tasked with assembling and distilling information from various sources, preparing correspondence, agendas, and other necessary documents, as well as tracking departmental expenditures and processing billing and expenses. Additionally, the role includes providing administrative assistance to other members of the VPBA's team as needed. The successful candidate must possess strong communication skills, both written and oral, to effectively transmit information across all levels and segments of the institution. The position requires a proactive approach to identifying and resolving scheduling conflicts, ensuring that the CFO/VPBA remains on schedule and well-prepared for meetings and presentations. The Administrative Assistant will also serve as the first point of contact for the office, screening incoming correspondence and calls, receiving visitors, and representing the CFO/VPBA in a professional manner. Building and maintaining positive working relationships with the President's and Cabinet's assistants is essential, as is the ability to multitask during periods of high demand. In addition to these responsibilities, the Administrative Assistant will serve as the principal conduit between the CFO/VPBA Office and the Finance Committees of the Board of Trustees, coordinating meetings, assembling materials, and taking minutes. They will monitor the office budget, process payments and invoices, and manage credit card charges for the CFO/VPBA, ensuring compliance with internal guidelines. The role also involves ensuring the smooth daily operations of the office, including ordering supplies, arranging service calls, and planning gatherings and trainings. The Administrative Assistant will review requests for the CFO/VPBA's signature on forms, follow up with the Purchasing Department and University stakeholders, and assist with onboarding new direct reports. This position may also require serving as staff to various committees chaired by the CFO/VPBA, handling scheduling, agendas, minutes, and communications.

Responsibilities
