About the position

The Executive Assistant to the Chief Financial Officer (CFO) plays a crucial role in providing high-level administrative support to the CFO and the Finance & Supply Chain Division. This position involves conducting research, preparing presentations and reports, managing schedules, and performing various clerical functions to ensure the smooth operation of the department. The Executive Assistant will also assist in budget preparation and maintain departmental records, contributing to the overall efficiency and effectiveness of the division.

Responsibilities

  • Assist the Director and various departments with daily tasks and administrative functions.
  • Compose general correspondence and prepare various documents, reports, and presentations.
  • Develop and coordinate written correspondence and reports, including meeting minutes.
  • Prepare purchase requisitions, expense reports, and payment requests, ensuring accuracy of vendor invoices.
  • Coordinate various projects and events, managing documentation, timelines, and presentations.
  • Assist with company-wide initiatives, compiling and analyzing information for reports and presentations.
  • Manage the CFO's calendar and schedule meetings, preparing agendas as necessary.
  • Assist in the preparation of the Director's departmental budget and metrics, maintaining complex spreadsheets.
  • Act as a back-up resource for other departments as needed.
  • Maintain adequate supplies and request service for office equipment as required.
  • Manage administrative functions and relationships with industry associations and vendors.
  • Proofread various documents as requested by the Director and Division staff.
  • Maintain effective working relationships with employees and customers at all levels.

Requirements

  • Associate's Degree in Business Administration or related field (Required) or Bachelor's Degree in Accounting or Business Administration (Preferred).
  • 5+ to 7 years of progressively responsible experience in a support position in a business environment (Required).
  • 7+ to 10 years of progressively responsible experience in a financial environment (Preferred).
  • 5+ to 7 years of experience preparing and ensuring accuracy of division budgets (Preferred).
  • Supervisory/office management experience and completion of related professional training (Preferred).
  • Advanced proficiency with Microsoft Office Professional Suite, including Word, Excel, Outlook, PowerPoint, and SharePoint (Required).
  • Exceptional interpersonal skills and professional discretion to handle sensitive information (Required).
  • Strong research and analytical skills with creative and proactive thought processes (Required).
  • Exceptional organizational skills and ability to manage multiple demands in a fast-paced environment (Required).
  • Excellent verbal and written communication skills (Required).

Nice-to-haves

  • Experience in a corporate environment (Preferred).
  • Knowledge of financial management practices (Preferred).
  • Completion of professional training related to office management (Preferred).
