About the position

The Administrative Assistant for the Tribal Council provides essential administrative support while maintaining confidentiality and effective records management. The role requires professionalism in all interactions with both internal and external customers, and it is crucial to honor and represent the mission, vision, and values of the Cowlitz Indian Tribe (CIT) and the Administration department.

Responsibilities

  • Coordinates and attends Tribal Council and other meetings, taking notes and minutes as requested.
  • Documents action items and decisions, informing department staff of any pertinent actions or decisions.
  • Distributes information from Tribal Council to community members or tribal staff as requested.
  • Arranges travel for Tribal Council, prepares and submits travel reimbursements and/or stipends.
  • Maintains travel information and manages the overall process for annual stipend election and payment process.
  • Prepares correspondence, reports, minutes, agendas, memos, forms, directories, resolutions, ordinances, and other documents.
  • Edits and reviews all correspondence and documents for correct grammar, punctuation, and spelling.
  • Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel.
  • Provides written notification to Tribal Council Members on correspondence requiring their attention.
  • Establishes and maintains an effective filing and retrieval system of Tribal Council correspondence.
  • Receives Tribal Council mail; sorts, logs, and routes mail.
  • Provides support in the research, preparation, and management of business documents.
  • Coordinates Tribal Council presentations and communications.
  • Prepares and approves email blasts and coordinates with Communication, IT, and others.
  • Assists with the organization and updates to the Tribal Council portal for effective document retention.
  • Records Tribal Council meetings and provides edit suggestions.
  • Maintains and operates office machines, equipment, and computers.
  • Photocopies, collates, distributes, and files documents.
  • Prepares physical packets for Tribal Council Meetings and virtual Adobe packets.
  • Prepares resolutions to be executed and coordinates with the Legal Team.
  • Secures Captioners for meetings and manages transcription services.
  • Provides administrative coverage to COO and Tribal Leadership.
  • Coordinates logistics for meetings with the casino, IT, and others.
  • Prepares for large meetings such as General Council.
  • Assists in administrative functions related to Elections and Candidate Selection.
  • Contributes to a team effort and accomplishes related results as required.
  • Performs other duties as assigned.

Requirements

  • High School Diploma/GED.
  • Three years of administrative experience.
  • Experience working within American Indian and/or Alaska Native communities preferred.
  • Valid driver's license is required when driving vehicles for work-related purposes.
  • Must be able to successfully pass a background screening/investigation.

Benefits

  • Wage range of $29.05 - $33.40 per hour DOE.
