About the position

The Administrative Assistant position at Pancoast Staffing Services involves providing comprehensive administrative and event support within a university setting. The role focuses on managing the alumni and donor database, processing gifts, and assisting with various office functions to ensure smooth operations. The ideal candidate will have experience in nonprofit organizations and be proficient in relevant software, particularly Raiser's Edge.

Responsibilities

  • Provide administrative support to department leadership, including preparation of correspondence, scheduling, expense reports, and written documents.
  • Manage daily operational functions of the office, including meetings management, ordering supplies, processing payments, and maintaining facilities and equipment.
  • Assist with events by scheduling venues, food, and other necessary arrangements.
  • Manage sensitive and confidential information attentively.
  • Receive, sort, and distribute departmental mail.
  • Coordinate signatures, scanning, and distribution of expense reports for University Advancement staff to the business office.
  • Perform other administrative and general office support duties as required.

Requirements

  • 3+ years of work experience, preferably in a nonprofit organization.
  • Experience managing gift entry processes within development constituent databases and related donor/data integration platforms.
  • Proficient in MS Office; experience with Raiser's Edge is strongly preferred.
  • Professional verbal and written communication skills.
  • Excellent organizational and multitasking skills with keen attention to detail.
  • Ability to work effectively with various constituents and staff.
  • Bachelor's degree is preferred.
