About the position

The Administrative Assistant will provide essential support to tax professionals by managing administrative tasks, ensuring efficient workflow, and enhancing client satisfaction. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Responsibilities

  • Greet clients upon arrival and direct them to the appropriate consultant.
  • Answer phone calls, respond to client inquiries, and schedule appointments.
  • Maintain and update client records, ensuring accuracy and confidentiality.
  • Assist in the preparation of tax documents and forms.
  • Organize, file, and archive completed tax returns and supporting documents.
  • Scan, photocopy, and fax documents as required.
  • Input client data into tax software and databases.
  • Ensure all data is accurate and up-to-date.
  • Assist tax consultants with research and gathering necessary documentation.
  • Coordinate with external agencies or departments as needed.

Requirements

  • High school diploma or equivalent.
  • Previous experience in an administrative role, preferably in a tax or financial setting.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and integrity.
  • Attention to detail and problem-solving skills.

Nice-to-haves

  • A degree in Business Administration or related field is a plus.
  • 2 years of customer service experience.
