In this role, the Administrative Assistant will be responsible for maintaining daily appointment calendars, scheduling and coordinating meetings, which may include making travel and lodging arrangements. The position also involves transcribing and preparing departmental correspondence and reports, as well as creating and maintaining an organized filing system for quick accessibility of materials. The Administrative Assistant will set up and utilize audio-visual equipment as needed and create and enhance audio-visual presentations in a timely manner. Additionally, the role includes performing special projects to meet identified goals and objectives, monitoring office supply levels, and participating in educational programs for professional growth. The ideal candidate will possess strong interpersonal, writing, and communication skills, along with proficiency in Microsoft Office and other relevant software. This position requires a high school diploma or equivalent, with some college preferred, and at least three years of recent secretarial or administrative experience. A typing speed of 50 words per minute is required, and the candidate should be adept at using personal computers for various tasks including word processing, spreadsheets, and database management.

Responsibilities

  • Perform routine clerical, administrative, and secretarial duties in a prompt, effective, and confidential manner.
  • Interact courteously and effectively with all department customers to assist and answer questions.
  • Maintain daily appointment calendars and schedule meetings, including travel and lodging arrangements.
  • Transcribe and prepare departmental correspondence and reports.
  • Create and maintain a filing system for quick accessibility of materials.
  • Set up and utilize audio-visual equipment as needed and create audio-visual presentations.
  • Monitor and maintain levels of office supplies, processing vouchers and requisitions as necessary.
  • Participate in educational programs to enhance professional growth and development.
  • Research and prepare information as requested.
  • Perform other duties and responsibilities as assigned.

Requirements

  • High school graduate or equivalent; some college preferred.
  • At least three years of recent secretarial experience; administrative experience preferred.
  • Typing speed of 50 wpm required.
  • Proficient interpersonal, writing, and communication skills required.
  • Previous experience with Microsoft Office, Lotus Notes, and personal computer knowledge including word processing, spreadsheets, and database management.
