About the position

The Administrative Assistant is expected to uphold the Code of Ethical Conduct and foster positive working relationships across various departments and with external stakeholders. The role involves a variety of administrative tasks that are essential for the smooth operation of the executive team and the organization as a whole. In this position, the Administrative Assistant will be responsible for a range of duties that include managing calendars, processing expense reports, and coordinating travel arrangements for multiple executives, both locally and in other office locations. The role also involves assisting in the planning and execution of meetings, events, and conferences, which includes tasks such as site selection, registration, catering needs, agenda preparation, minute-taking, and contract negotiation. The Administrative Assistant will also be tasked with completing projects assigned by executives, preparing various forms of correspondence and reports, and serving as a backup for other executive and administrative assistants when necessary. Additionally, the Administrative Assistant will handle incoming calls, emails, and inquiries, ensuring they are directed to the appropriate leader or team member. The preparation and distribution of meeting minutes are also part of the responsibilities, along with any other duties as assigned. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Provides administrative support including calendar management, processing expense reports, and booking travel arrangements for several executives.
  • Assists in the planning and execution of in-person and virtual meetings, events, and conferences.
  • Responsible for completing projects as assigned by Executives.
  • Prepares correspondence, memoranda, reports, etc., and processes as needed.
  • Serves as backup to other Executive Assistants and Administrative Assistants in the event of absence.
  • Handles incoming calls, emails, and inquiries, directing them to the appropriate leader or team member.
  • Prepares and distributes minutes of meetings.
  • Performs other duties as assigned.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in calendar management and travel coordination.

Nice-to-haves

  • Experience in a healthcare or administrative support role.
