About the position

Omnia Diagnostics, LLC is seeking a Laboratory Administrative Assistant to join our rapidly expanding clinical laboratory. The Laboratory Administrative Assistant will play a crucial role in supporting the Laboratory Manager and Directors, ensuring the smooth operation of our laboratory services. This position is ideal for individuals who are detail-oriented and possess strong administrative skills, as they will be responsible for various tasks that contribute to the overall efficiency of the laboratory. In this role, the Laboratory Administrative Assistant will learn to operate automated systems, including the Laboratory Information System (LIS) and the Electronic Health Records System (EHR). They will maintain and provide accurate informatics and data related to these systems, ensuring that billing and coding information is entered correctly. The assistant will also be responsible for manual entry of client and sample information into databases, documenting disease diagnosis and procedure codes, and addressing any sample-related issues that may arise. The position requires excellent customer relations skills, as the assistant will interact with external personnel, including clients, vendors, and technical support staff. Professional etiquette and mannerisms are essential, as the assistant will represent the laboratory in various interactions. Additionally, the assistant will maintain and order routine office and laboratory supplies, serve as a backup sample accessioner, and train other medical technologists in administrative functions as needed. This role is vital in providing internal support to the Laboratory Manager and Directors, ensuring that all duties are performed in a timely and efficient manner, from sample log-in to billing and coding.

Responsibilities

  • Learn the operation of automated systems such as the Laboratory Information System (LIS) and the Electronic Health Records System (EHR)
  • Maintain and provide LIS/EHR informatics and data
  • Enter and ensure the accuracy of billing and coding information
  • Manual entry of client and sample information into databases
  • Ensure that disease diagnosis and procedure codes are properly documented
  • Document any sample-related issues
  • Interact with external personnel on the phone or in person
  • Ensure that office and laboratory documents are filed and indexed properly
  • Maintain and order routine office and laboratory supplies
  • Serve as back up sample accessioner
  • Train other medical technologists in administrative functions of the lab as determined by the Laboratory Manager
  • Provide all aspects of internal support to the Laboratory Manager and Directors
  • Interact with clients, vendors, sales personnel, field service engineers, application specialists, and other personnel
  • Demonstrate excellent customer relations when dealing with external personnel
  • Display professional etiquette and mannerisms
  • Perform all duties, from sample log-in, to billing and coding in a timely and efficient manner
  • Follow-up with submitting centers if there are any issues related to sample identity quantity or quality

Requirements

  • Associate's Degree in Business, Healthcare Administration, Medical Technology or Biological Sciences - Bachelor's Degree Preferred
  • 2-3 years Laboratory Administrative Assistant experience, preferred
  • 2-years additional experience accepted in lieu of an Associate Degree
  • Command of Microsoft Office programs
  • Experience in dealing with clients, vendors, and technical support personnel
  • Excellent written and verbal communication skills
