About the position

The Administrative Assistant at LMG Technology Services LLC is responsible for providing comprehensive administrative support to the Housing Choice Voucher Program (HCVP) team. This role involves managing various departmental systems, assisting clients with voucher paperwork, and ensuring accurate record-keeping. The position requires strong organizational skills and the ability to communicate effectively with clients and colleagues.

Responsibilities

  • Retrieve temporary folders from Move personnel and prepare affordability sheets for upcoming mass move appointments.
  • Prepare briefing room for clients and conduct briefings.
  • Assist clients with signing and understanding their voucher paperwork during briefings.
  • Place payment holds on files of clients who attended briefings.
  • File and label temporary files correctly in the designated area.
  • Schedule clients for briefings based on inspection reports.
  • Assist clients with voucher extension requests as needed.
  • Establish and maintain systems for contacting and scheduling client or landlord actions.
  • Compose routine correspondence including letters, emails, and daily notes in the database.
  • Develop and manage the departmental filing system, including purging files weekly.
  • Maintain various systems, records, files, reports, and documents accurately and timely.
  • Receive and resolve complaints from clients and the general public.
  • Perform general clerical duties including typing, filing, and data entry.

Requirements

  • High school diploma or GED required.
  • Two years of related secretarial work experience in an administrative office.
  • Administrative or Secretarial training in a licensed business school or other accredited institution.
  • Bilingual in Spanish, Vietnamese, or Mandarin is a plus.
  • Knowledge of Microsoft Office products (Word, Excel, PowerPoint).
  • Ability to type accurately at a minimum speed of 35 words per minute.
  • Knowledge of laws, regulations, and policies governing Client's Voucher programs.

Nice-to-haves

  • Failed Owner Self Certification (FOSC) preferred.
  • Housing Choice Voucher Housing Quality Standards (HQS) Certification preferred.
