About the position

The Administrative Assistant position at A Peer Place is a part-time role focused on supporting the Director in a fast-paced environment, particularly for summer, after school, and Saturday programs. The ideal candidate will be highly organized and detail-oriented, ensuring smooth office operations and effective communication within the team.

Responsibilities

  • Manage and organize files, ensuring all documents are easily accessible and up-to-date.
  • Handle phone calls with professionalism, demonstrating excellent phone etiquette.
  • Assist Director with calendar management, scheduling appointments, and coordinating meetings.
  • Perform proofreading of documents to ensure accuracy and clarity.
  • Support the Director with various administrative tasks, including data entry and record keeping.
  • Utilize QuickBooks for basic financial tracking and reporting as needed.
  • Collaborate with Project Director and Site Coordinator to improve office processes and enhance productivity.

Requirements

  • High school diploma or GED
  • 1 year of administrative experience
  • 1 year of experience with QuickBooks
  • Strong time management skills
  • Excellent communication skills, both written and verbal
  • Ability to multitask effectively while maintaining attention to detail.

Nice-to-haves

  • Familiarity with children and family environments
  • College student with administrative assistant courses is preferred
  • Proficiency in using office software and tools, including Microsoft Office.
