About the position

The Administrative Assistant at The Arc of Mid-Michigan plays a crucial role in supporting the Executive Director and ensuring the smooth operation of the organization. This position involves a variety of administrative tasks, including scheduling, financial management, public relations, and social media management, all aimed at promoting inclusion for individuals with developmental disabilities in the community.

Responsibilities

  • Schedule interview dates and times for NCI grant surveys.
  • Assemble files by county and copy documents as necessary.
  • Scan and mail completed surveys.
  • Update weekly tracking report.
  • Maintain and balance bingo accounts monthly for deposits and prepare quarterly reports for submission to the State of MI.
  • Handle all payments, rent checks, and incoming fees for fundraising and programs.
  • Make at least one bank deposit of funds weekly and balance petty cash account weekly.
  • Assist in public relations and provide information about Arc programs on social media and through email.
  • Coordinate the Operation Friendship Program with local churches, including sending gift request letters and coordinating gift deliveries.
  • Prepare information for the bi-monthly newsletter and ensure timely printing.
  • Send thank you letters to all donors within 48 hours of receipt of donation.
  • Prepare and send membership renewals and update the National membership registry monthly.
  • Prepare packets for monthly meetings and keep board and finance binders up to date.
  • Prepare monthly invoices for program participants and fundraising, advising the ED of any overdue accounts.
  • Answer incoming phone calls and maintain good working relationships with other employees.
  • Check and file incoming office mail, including Representative Payee and Guardianship mail.
  • Order office supplies and handle office recycling.
  • Call contractors for repairs and follow up on completion.
  • Submit bills and important documents to the ED immediately and mail payments after checks are drafted.
  • Maintain all social media platforms with at least one post per week.
  • Perform other duties as assigned.

Requirements

  • Associate Degree in human service, business, or a related field preferred.
  • 1 year of experience or a combination of experience and education may substitute for a degree.
  • Proven professionalism while collaborating with various managerial levels.
  • Good communication skills, both verbal and written.
  • Strong organizational, mathematical, and time management skills.

Nice-to-haves

  • Experience in social media management.
  • Knowledge of nonprofit operations.
