About the position

Tri Valley Plastic Surgery is seeking a detail-oriented and proactive Administrative Assistant to support their team in Dublin, CA. The role involves effective communication, strong organizational skills, and the ability to manage multiple tasks efficiently. The Administrative Assistant will collaborate closely with the Practice Manager and contribute to business development initiatives, supporting the strategic growth of the practice.

Responsibilities

  • Perform data entry tasks with a high level of accuracy, including conversion rates, productivity reports, and patient retention.
  • Participate in quality assurance initiatives and process improvement projects to enhance office operations.
  • Assist with managing the Customer Relationship Management (CRM) system, including data entry and updating patient information.
  • Collaborate on miscellaneous projects related to business development and process refinement.
  • Conduct research on various topics to support strategic initiatives within the practice.
  • Assist with employee onboarding, including documentation and training coordination.
  • Oversee physician credentialing and coordinate with local hospitals for scheduling.
  • Assist with administrative tasks such as filing, document preparation, and correspondence.
  • Manage vendor relationships and communications.
  • Support medical receptionists with patient inquiries, check-in, and appointment management.
  • Track and manage renewal dates for physician licenses and certifications.

Requirements

  • Bachelor's degree strongly preferred; new graduates are encouraged to apply.
  • Proven experience in an administrative role is preferred.
  • Strong computer literacy in Microsoft Office Suite/Google Suite, including advanced functions.
  • Excellent organizational and multitasking skills.
  • Strong interpersonal skills and professionalism in interactions.
  • Excellent written and verbal communication skills.
  • Prior experience in healthcare is preferred but not required.
