About the position

The Administrative Assistant at the Southwest Autism Research and Resource Center (SARRC) plays a crucial role in supporting the organization by performing routine administrative and clerical tasks. This position involves client communication, scheduling, and ensuring that all critical tasks are completed in a timely and high-quality manner. The role requires interaction with visitors and staff, maintaining office supplies, and managing various administrative functions to support the organization's operations.

Responsibilities

  • Greet on-site visitors and their children, directing them to appropriate personnel and locations.
  • Administer visitor identification and logging system, ensuring compliance with security protocols.
  • Maintain common areas and ensure they are neat and presentable.
  • Ensure break room and office supply spaces are stocked at all times.
  • Answer telephones, respond to messages promptly, and provide accurate information to callers.
  • Collect, sort, and distribute all mail correspondence and packages, including interoffice deliveries.
  • Use computers for database management, word processing, and Excel applications.
  • Operate office equipment such as fax machines, copiers, and phone systems, arranging for repairs when necessary.
  • Maintain and update event calendars and manage expense reports for the assigned leader.
  • Schedule conference rooms, issue help desk tickets, order group lunches, and arrange off-site conference space.
  • Maintain client and clinician schedules, communicating updates effectively to clinicians and families.
  • Assist Executive Assistants with meeting setups and special projects.

Requirements

  • High school diploma or GED required; further education in administrative topics preferred.
  • 1 to 2 years of general administrative experience in a professional environment.
  • Professional services scheduling experience is required.
  • Fluency in Spanish is preferred.
  • Demonstrated ability to work with diverse backgrounds and cultures.
