About the position

The Administrative Assistant at St. John XXIII Catholic Parish plays a crucial role in supporting the parish office's mission by providing essential administrative and secretarial assistance. This full-time position involves a variety of tasks aimed at ensuring smooth operations within the parish office, including communication management, event scheduling, and record maintenance.

Responsibilities

  • Answer, screen, and route incoming calls to the pastor/office promptly, accurately, and courteously.
  • Provide answers to caller questions and assistance when appropriate.
  • Serve as the Marriage Prep Coordinator.
  • Compose, proof, correct, and distribute letters, memos, forms, documents, bulletins, emails, and faxes.
  • Maintain contact lists and sacramental records, including reporting updates to other parishes.
  • Schedule events on parish and diocesan calendars as needed, interfacing with the proper parish office and Catholic Center contacts.
  • Coordinate receipt of office supplies and assist in ordering for special activities.
  • Schedule volunteers for office and various ministries in the parish.
  • Perform other duties as assigned.

Requirements

  • Minimum of high school diploma or equivalent.
  • 2-3 years of experience in a position with similar duties and responsibilities preferred.
  • Previous church employment/experience extremely helpful.
  • Excellent communication skills both written and oral.
  • Ability to multitask in a busy office.
  • Proficiency with Microsoft Suite.
  • Strong organizational skills.
  • Confidentiality a must.
  • Must pass DOV assigned level II FDLE background check.
