Responsibilities

  • Perform various administrative tasks, including data entry, filing, and managing documents
  • Assist with financial record keeping and invoicing
  • Provide clerical support such as answering phone calls, scheduling appointments, and responding to emails
  • Assist with office management duties, including maintaining office supplies and equipment
  • Handle office tasks, such as administrative duties and managing client records
  • Maintain confidentiality of sensitive information and adhere to guidelines
  • Ensure phone etiquette is professional and courteous when interacting with clients or customers
  • Manage front desk operations, including greeting visitors and directing them to the appropriate personnel
  • Utilize computerized systems and software to complete tasks efficiently
  • Assist with IRS Representation tasks, such as writing letters and legal research
  • Process Power of Attorney forms including generating forms, obtaining signatures, and follow-ups as needed until processed through IRS system
  • Assist with the Tax Preparation process, including bringing in Tax Documents into CRM software, speaking with clients to obtain additional information, packaging tax returns, and obtaining signatures and payments prior to filing
  • Handle a high volume/fast paced environment

Requirements

  • Proficient in data entry and accurately inputting information into databases or spreadsheets
  • Experience with onboarding clients
  • Strong clerical skills, including organizing files, managing paperwork, and maintaining records
  • Knowledge of office administrative procedures and ability to handle administrative tasks effectively
  • Familiarity with tax office operations and understanding of administrative assistant duties is preferred
  • Ability to handle confidential information with discretion and maintain privacy standards
  • Excellent phone etiquette and communication skills when interacting with clients or customers
  • Experience managing front desk operations and providing exceptional customer service
  • Comfortable using computerized systems and software for various administrative tasks

Nice-to-haves

  • Familiarity with tax office operations and understanding of administrative assistant duties is preferred
