About the position

The Administrative Assistant I will provide comprehensive administrative support to the supervisor and various functional teams within the organization. This role involves coordinating administrative processes, managing schedules, and enhancing operational efficiency through effective communication and organization.

Responsibilities

  • Assist the supervisor with the office's administrative activities.
  • Coordinate various administrative processes and projects.
  • Create and develop presentations, letters, memos, and graphs using Word, Excel, and PowerPoint.
  • Proofread copy for spelling, grammar, and layout.
  • Prepare agendas, notices, and minutes for functional teams.
  • Schedule and organize activities such as meetings, travel, and conferences.
  • Provide backup to the receptionist on a rotating schedule.
  • Work on various projects such as planning meetings and running reports.
  • Manage customer calendars as needed.
  • Contribute to project teams as needed.

Requirements

  • Minimum of 1-3 years prior administrative experience.
  • Knowledge of Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to take and publish clear notes for teams.
  • Organized and detailed, yet flexible.
  • Proven ability to maintain confidentiality.
  • Proven customer service background.
  • Ability to prioritize and manage workflow with interruptions.
  • Enjoy being challenged with a variety of activities.
  • Possess an upbeat, positive, and enthusiastic attitude.
  • Confident self-starter who works well independently.
