About the position

Integr8staff is seeking a polished and experienced Administrative Assistant to provide high-level administrative support to the Chief Financial Officer (CFO) and Chief Operating Officer (COO), as well as other executive-level staff. This role involves a variety of clerical and administrative tasks, ensuring smooth operations within the executive team and contributing to the overall efficiency of the organization.

Responsibilities

  • Provides administrative support and assistance to the Executive team and other leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, expense reports, and other documents for senior staff.
  • Arranges travel, hotel, transportation, and other accommodations for executives.
  • Receives and sends daily mail coordinating delivery to appropriate personnel.
  • Manages calendars and schedules meetings for the executive team.
  • Welcomes and directs visitors and clients.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Prepares agendas and schedules for meetings.
  • Provides weekly status updates on projects, as well as personnel matters or changes within the organization.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Invoice review and prep for payment for office-related expenses.
  • Administers Corporate Credit Card program.
  • Performs additional duties as assigned by executives.

Requirements

  • A completed Bachelor's Degree highly preferred.
  • Bilingual English/Spanish highly recommended.
  • 3+ years of executive assistant experience supporting C-level personnel.
  • Excellent customer service skills, including phone, verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Superb organizational and time management skills.
  • Ability to function well in a high-paced environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 55 words per minute.
  • Extremely proficient with Microsoft Office Suite including Excel, PowerPoint, and Visio with the ability to learn new or updated software.

Nice-to-haves

  • Experience with Visio is a plus.
