About the position

The Administrative Assistant will provide high-level support to Senior Management in a fast-paced environment, demonstrating exceptional skills and a commitment to teamwork. The role involves managing communications, organizing supplies, scheduling meetings, and maintaining office operations to ensure efficiency and professionalism.

Responsibilities

  • Answer phones, screen calls, transfer calls, and take messages.
  • Greet visitors with courtesy and professionalism.
  • Perform follow-ups for various information requests received from customers/fellow employees.
  • Organize supplies, keeping inventory records and placing orders.
  • Perform basic office duties: filing, copying, and printing documents.
  • Process all incoming electronic and physical mail.
  • Process all outgoing physical mail.
  • Keep meeting rooms and common spaces neat and tidy, run, and empty dishwasher daily.
  • Perform additional duties as assigned.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies.
  • Coordinate and schedule meetings, appointments, and travel arrangements for managers and staff.
  • Serve as the point of contact for internal and external communications, including answering phone calls, responding to emails, and greeting visitors.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Accurately enter and update data in various systems and databases, ensuring data integrity and confidentiality.
  • Organize and maintain electronic and paper files, ensuring documents are easily accessible and properly archived.

Requirements

  • 6 months to a year of related experience.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
