About the position

The Administrative Assistant at DePinho Roofing Inc. plays a crucial role in supporting the front office team by managing customer service inquiries, assisting with accounts payable and human resources tasks, and ensuring smooth office operations. This position requires a detail-oriented individual who can handle a variety of administrative duties in a fast-paced environment, contributing to the company's growth and success.

Responsibilities

  • Respond to high volume of incoming phone calls and emails, including customer service requests and job status inquiries.
  • Input service request orders into Job Nimbus and update statuses and notes as needed.
  • Email proposals to customers and follow up to confirm receipt.
  • Receive and reconcile material purchase invoices with bill of ladings and purchase orders.
  • Input material invoices and purchase orders into QuickBooks and receive invoices against purchase orders.
  • Issue purchase orders for materials and audit invoice statements for the AP manager.
  • Assist with onboarding new hires and maintaining employee personnel files.
  • Track workers' compensation claims and maintain OSHA records.
  • Assist in tracking employee benefits and compliance with Cal Savers.
  • Create job files and update project data in QuickBooks and Job Nimbus.
  • Monitor and order office supplies as needed.
  • Manage and organize files for easy access to information.
  • Proofread documents for accuracy and clarity before distribution.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role is preferred.
  • Strong computer literacy skills, particularly with Microsoft Suite applications and QuickBooks Desktop.
  • Excellent organizational skills with the ability to manage multiple tasks effectively.
  • Experience in data entry and document proofreading is highly desirable.
  • Familiarity with office management practices is a plus.
  • Familiarity with new hire onboarding processes, workers' compensation, and OSHA record-keeping is a plus.
  • Bilingual candidates who can communicate in Spanish are encouraged to apply.
