About the position

The Administrative Assistant at Five Star Senior Living plays a crucial role in supporting the Executive Director and managing day-to-day operations. This position involves acting as a liaison between the facility and the community, ensuring effective communication and organization within the office. The Administrative Assistant is responsible for maintaining records, managing office supplies, and providing exceptional customer service to residents and visitors.

Responsibilities

  • Answer and forward incoming calls with a strong customer service approach.
  • Provide information about residence and services when the Executive Director is unavailable.
  • Greet and assist visitors, including potential residents and sponsors.
  • Maintain and distribute marketing materials to prospective residents and community leaders.
  • Manage office supplies and maintain adequate par levels within budget.
  • Accurately maintain petty cash accounts according to financial standards.
  • Maintain personnel and resident files in compliance with HIPAA regulations.

Requirements

  • High School diploma or GED.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills to manage competing priorities.
  • Ability to communicate effectively in an interdisciplinary care setting.
  • Proficiency in performing computations involving rates, ratios, and percentages.
  • Familiarity with scheduling and communication software.

Nice-to-haves

  • Experience in a healthcare or senior living environment.
  • Knowledge of marketing strategies for senior living facilities.
