About the position

Oso Grande Technologies, Inc. is seeking an experienced Administrative Assistant to support the CEO and ensure smooth day-to-day office operations. The role involves managing multiple tasks, providing administrative support for high-level projects, and fostering a welcoming environment for staff and visitors. The ideal candidate will have a strong background in administrative roles, particularly in IT-related industries, and will thrive in a dynamic, fast-paced environment.

Responsibilities

  • Provide administrative support to the team, including managing correspondence, calendars, scheduling meetings, and overseeing office operations.
  • Answer and direct incoming and outgoing phone calls, company emails, postal mail, faxes, customer tickets, etc.
  • Oversee office supply inventory and ensure the office is well-stocked and organized.
  • Organize and maintain administrative files, records, and correspondence effectively.
  • Professionally liaise with staff, customers, vendors, and stakeholders.
  • Produce copywriting for marketing materials, including brochures, web content, social media posts, and other collateral.
  • Assist with special events and business meetings, including creating and sourcing collateral such as flyers, web graphics, brochures, company swag items, and gifts, as well as arranging catering.
  • Maintain discretion and confidentiality while handling sensitive information.
  • Create and manage standard operating procedures (SOPs) for the administrative role to ensure consistency and efficiency in office operations.
  • Participate in accounts payable process and lightweight bookkeeping.
  • Other special projects as assigned.

Requirements

  • Bachelor's degree preferred.
  • Minimum of 5 years of experience as an administrative assistant, preferably in an IT-related industry.
  • Very strong written and verbal communication skills, with the ability to produce professional, clear, and concise copy.
  • Excellent organizational skills and attention to detail; ability to plan, organize, and schedule efficiently, prioritizing key tasks to ensure deadlines are met.
  • Excellent proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, SharePoint, and Teams); familiarity with Microsoft Planner and Canva is preferred.
  • Excellent computer proficiency and comfort with learning new technologies and software.
  • Strong decision-making and prioritization skills, with the ability to effectively solve complex issues and manage competing priorities.
  • Knowledge of general administrative practices and procedures, with a proactive approach to solving problems.
  • Ability to safely lift objects weighing up to 35 lbs.
  • Ability to work independently while contributing to a team-oriented environment.
  • Bilingual English/Spanish a plus!

Nice-to-haves

  • Familiarity with Microsoft Planner and Canva is preferred.
  • Experience in marketing/copywriting for at least 1 year.
