About the position

The Administrative Assistant at Pasadena Villa Outpatient plays a crucial role in supporting the Executive Director and Office Coordinator in the daily operations of a behavioral healthcare practice. This part-time position focuses on client relationship management, payment collections, medical records management, and ensuring quality assurance within the facility. The role emphasizes a client-centered approach and requires strong organizational and communication skills to maintain effective relationships with clients, families, and clinical providers.

Responsibilities

  • Assist the Executive Director and Office Coordinator with day-to-day operations.
  • Manage client relationships and payment collections.
  • Oversee medical records management and quality assurance.
  • Perform basic administrative front desk functions.
  • Conduct intakes for new clients and provide orientation.
  • Track and maintain various reports accurately and timely.
  • Maintain the phone system and IT equipment with help desk support.
  • Serve as backup to the Admissions Coordinator for inquiries directed to the facility.
  • Attend and participate in trainings and scheduled meetings.

Requirements

  • High school diploma or GED required; Bachelor's degree in social work or related field preferred.
  • Minimum of two years of administrative experience in a behavioral health setting.
  • Knowledge of behavioral health terminology is essential.
  • Experience working with physicians and therapists is desirable.
  • Demonstrated knowledge and adherence to HIPAA guidelines.

Nice-to-haves

  • Experience in a hospital or outpatient clinic setting.
  • Familiarity with client relationship management software.
  • Proficiency in Microsoft Outlook and Word.
