About the position

The Administrative Assistant at Weill Cornell Medical College provides essential operational, financial, and administrative support to the office. Responsibilities

  • Coordinates calendars and schedules appointments and meetings, prioritizing requests and arrangements.
  • Answers phones, responds to inquiries, and triages calls to appropriate personnel.
  • Responsible for travel and conference arrangements, organizing itineraries and making reservations.
  • Handles procurement activities related to goods, services, and equipment as needed.
  • Manages disbursement and reimbursement activities as required.
  • Maintains inventory of supplies and equipment, orders as authorized, and confirms delivery accuracy.
  • Ensures facilities and equipment are in optimal working condition, coordinating maintenance and repairs as needed.
  • Coordinates room reservations and provides on-site support, including audiovisual equipment setup and refreshments.
  • Initiates and prepares written correspondence based on functional needs.
  • Records and distributes meeting minutes.
  • Performs other related duties as assigned.

Requirements

  • High School Diploma
  • Approximately 2 years of prior administrative support experience
  • Demonstrated proficiency with MS Office Suite and database applications
  • Ability to exercise standards of professionalism in appearance and demeanor
  • Excellent customer service skills in person, via email, and on the telephone
  • Strong communication and interpersonal skills, with the ability to interact with multiple constituencies
  • Demonstrated organizational skills and attention to detail
  • Ability to multi-task and self-prioritize work.
