About the position

The Administrative Assistant to the Director of Grants & Philanthropy is responsible for providing comprehensive support to the Director and the associated teams. This role involves a variety of administrative tasks that require minimal supervision, emphasizing teamwork, quality work, and ownership of responsibilities.

Responsibilities

  • Read and screen incoming correspondence and reports, assessing their importance and organizing documents accordingly.
  • Compose letters and memoranda in response to incoming mail or calls.
  • Prepare agendas and collect materials for meetings and conferences.
  • Maintain the files of the Grants & Philanthropy Department.
  • Prepare necessary correspondence, records, reports, and promotional materials for the Grants & Philanthropy and Economic Development Departments.
  • Perform routine office management activities and special projects as assigned.
  • Maintain files in accordance with the record retention policy.
  • Produce written documents with clear organization and proper grammar.
  • Exercise independence, judgment, diplomacy, and discretion when handling confidential matters.
  • Communicate effectively with customers, clients, and the public in person or by telephone.
  • Respond appropriately to public inquiries and present a positive public image.
  • Identify and resolve problems in a timely manner.

Requirements

  • Bachelor's degree and a minimum of two years of relevant experience, or a high school diploma with a minimum of four years of relevant experience.
  • Knowledge of business English, spelling, and math.
  • Familiarity with modern office practices, procedures, and equipment.
  • Understanding of city rules, regulations, policies, and procedures.
  • Proficiency in PC software applications for word processing, spreadsheets, graphic presentations, and database management.
