About the position

Self Storage Consulting Group (SSCG) is seeking a full-time Administrative Assistant for their Gilbert, AZ office. The role involves providing administrative support across various departments, managing office tasks, and ensuring a welcoming environment for clients and staff. The ideal candidate will possess strong interpersonal skills and be able to work independently while effectively managing time and tasks.

Responsibilities

  • Answer general phone inquiries with a professional demeanor
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with accurate information
  • Greet clients/suppliers/visitors/vendors in a friendly and professional manner
  • Support various departments with administrative tasks, such as data entry, filing, and research
  • Prepare reports, memos, and documents
  • Receive, distribute, and send office mail/FedEx
  • Monitor general voice mail and email box and forward to the appropriate staff member
  • Purchase, receive, store and monitor office supplies, ensuring that basic supplies are always available
  • Maintain accurate and up to date databases such as contact lists and organizational charts
  • Back up electronic files
  • Coordinate the maintenance of office equipment
  • Manage and maintain vendor relationships
  • Schedule meetings and take meeting minutes
  • Update company calendar
  • Arrange travel for staff
  • Responsible for sending out lien notices per applicable state laws
  • Ensure the office environment is clean, organized, and welcoming
  • Handle confidential information with discretion and uphold data protection policies.

Requirements

  • High School Diploma required
  • Excellent communication, time management and organizational skills
  • Ability to multi-task and complete assigned duties within a specified time frame
  • Able to work independently and with minimal supervision
  • Effective judgment and decision-making skills
  • Superior typing and computer skills, Microsoft Office (strong in Word, Excel, PowerPoint and Outlook)
  • Skilled at working in web-based programs, databases, internet
  • Ability to keep protected information confidential.

Nice-to-haves

  • College education in business, computers, or office management desired, but not required
