About the position

The Administrative Assistant at InsureBoost is responsible for providing comprehensive support to clients and agents in a dynamic insurance environment. This part-time role involves managing client communications, scheduling appointments, assisting with paperwork, and ensuring compliance with industry regulations. The position requires strong organizational skills, effective communication, and a client-focused mindset to enhance service delivery and operational efficiency.

Responsibilities

  • Answer incoming calls and greet clients, managing in-person and virtual appointments.
  • Schedule client and agent appointments, reminders, and track key dates for Open Enrollment and renewals.
  • Maintain office organization, including stocking supplies and ensuring a welcoming environment.
  • Send appointment reminders, renewal notifications, and follow-up messages to clients.
  • Assist clients with paperwork and application processes, guiding them through basic steps.
  • Handle billing reminders and follow up on premium payments and billing queries.
  • Record and organize commission reports for tracking purposes.
  • Generate delinquency reports and distribute them to agents for outstanding payments.
  • Compile agency metrics and ensure compliance for client files.
  • Track regulatory changes and keep client files up-to-date.
  • Manage social media content and send client update messages.
  • Assist with daily operations for in-office staff and call center agents.
  • Provide administrative support to train and guide independent agents.
  • Monitor team performance metrics and assist in performance reviews.
  • Support the client intake process from initial contact to policy setup.
  • Monitor call center metrics and assist in setting goals for service quality.
  • Prepare reports on delinquent clients and compliance data.
  • Assist in onboarding new agents and organizing training sessions.
  • Coordinate client outreach for renewals and account updates.
  • Build relationships with community organizations to promote agency services.
  • Refine processes for call handling and in-office appointments.
  • Conduct regular compliance checks and update policies as needed.

Requirements

  • 1 year of experience in an office or similar setting preferred.
  • 1 year of experience in the insurance industry or willingness to obtain an insurance license within 6 months.
  • Strong communication skills, both written and verbal.
  • Excellent organizational skills and attention to detail.
  • Problem-solving abilities and resourcefulness in addressing issues.
  • Technical proficiency with CRM systems and Microsoft Office (Excel, Word, Outlook).
  • Client-focused mindset with prior customer service experience.
  • Accountability and initiative in completing tasks on time.
  • Adaptability and flexibility to handle changing priorities.
  • Team player attitude, willing to assist and collaborate with others.

Nice-to-haves

  • Experience in the insurance industry is preferred but not mandatory.
  • Willingness to relocate to Columbia, SC before starting work.
