About the position

ECS is seeking an Administrative Assistant to support various administrative functions in the Orlando, FL office. The role involves managing correspondence, coordinating travel arrangements, maintaining schedules, and providing general office management support. The Administrative Assistant will also assist with visitor management and documentation for travel, ensuring smooth operations within the office.

Responsibilities

  • Preparation, receipt, coordination, staffing and distribution of correspondence, rosters, materials and briefings.
  • Receipt of visitors and phone calls.
  • Administration of hardcopy files and electronic records.
  • Coordination of travel arrangements and preparation of travel orders and vouchers.
  • Appointment scheduling and calendar maintenance.
  • Action tracking and planning for personnel movement between offices.
  • General office management duties and timecard administration.
  • Coordinate and submit visit requests and clearance requests for incoming visitors.
  • Support PM personnel in obtaining U.S. passports, VISAs, and other documentation for OCONUS travel.
  • Perform mail administration services including courier shipments and internal mail distribution.

Requirements

  • Active Secret Clearance
  • Experience with Microsoft Office - Word, Excel, PowerPoint, and Outlook
  • Knowledge of Defense Travel System (DTS)
