The Administrative Assistant at Community Services Agency plays a crucial role in supporting the team with various administrative tasks. Responsibilities

  • Answer the telephone and provide accurate information or forward calls to appropriate staff.
  • Greet and assist office visitors.
  • Assist Agency personnel with the management of programs or projects as assigned.
  • Communicate and interact with clients and program managers; process paperwork; maintain records and files; prepare related correspondence and reports.
  • Type, prepare, and proofread routine correspondence and reports.
  • Perform clerical work including copying, filing documents, receiving and distributing mail, preparing outgoing mail, and assembling materials.
  • Assist with the training of new personnel in routine office procedures.
  • Attend staff meetings and in-service training as required.
  • Maintain a neat and orderly office environment.
  • Collect, enter, and analyze data for report preparation.
  • Perform other duties as may be assigned.

Requirements

  • High school diploma or GED equivalent.
  • Basic knowledge of grammar, spelling, punctuation, and simple mathematical functions.
  • Bilingual in Spanish and English strongly preferred.
  • Ability to work as part of a team and maintain effective relationships with others.
  • Ability to learn and apply the policies and procedures of assigned program area.
  • Ability to understand and follow oral and written instructions and read and interpret various materials pertaining to the responsibilities of the job.
  • Ability to operate office equipment, including a multi-line telephone, computer, printer, fax machine, etc.
  • Ability to organize and maintain filing systems, assemble and analyze information, prepare reports and records in a clear and concise manner, and maintain confidentiality concerning client records and operations.
  • Ability to communicate effectively in written and oral form.
  • Ability to perform required mathematical calculations quickly and accurately.
  • Ability to react calmly and professionally in emergency or stressful situations.
