About the position

The Administrative Assistant at Carlson Environmental Consultants, PC will play a crucial role in supporting various departments within the Richmond office. This full-time position requires a highly organized individual who can multitask effectively, prioritize tasks under tight deadlines, and handle last-minute requests with enthusiasm. The successful candidate will be a dedicated team player, assisting in administrative functions across multiple departments and ensuring smooth office operations.

Responsibilities

  • Greet vendors and customers
  • Coordinate incoming/outgoing mail, including USPS Priority Mail, FedEx, and UPS
  • Provide general administrative assistance to Accounting, Human Resources, and Information Technology departments
  • Communicate and collaborate with department heads on project needs
  • Inventory, manage, and order office supplies and other essentials
  • Manage general and site-specific documents, including filing, making updates, editing, binding, and shipping
  • Assist in coordinating office training/events, including scheduling, setting up, food ordering, and material printing/copying
  • Coordinate training and refreshers/recertifications with the Safety Department
  • Ensure staff submit their daily reports and timesheets on time
  • Perform additional duties as assigned, including cross-functional interaction with different departments

Requirements

  • Associate's degree and/or a minimum of 2 years of administrative experience
  • High level of confidentiality
  • Strong verbal and written communication skills
  • Proficient in Google Sheets, Google Docs, Microsoft Excel, Microsoft Word, PowerPoint, and Adobe Pro Editors
  • Ability to sit at a desk or stand for extended periods
  • Ability to climb stairs
  • Ability to lift 25 lbs or higher
  • Valid driver's license
  • Eligibility to be legally employed in the U.S.
  • Ability to successfully pass a pre-employment drug screen, background check, and motor vehicle records check
