About the position

The Administrative Assistant at the Air Line Pilots Association (ALPA) plays a crucial role in supporting the Air Canada Master Executive Council (MEC) office. This position involves a variety of administrative tasks including word processing, proofreading, data compilation, and maintaining office files. The assistant will also serve as the primary backup for the receptionist, handling phone calls, visitor inquiries, and mail distribution. The role requires effective communication with pilots, officers, and various stakeholders, as well as event planning and travel arrangements.

Responsibilities

  • Provide administrative support to the Air Canada MEC office by word processing and proofreading documents.
  • Take notes at meetings and prepare drafts for review prior to distribution.
  • Assist in compiling data for reports and maintaining current office files.
  • Update online calendars and manage document filing and purging as per Association policy.
  • Duplicate, collate, and distribute documents as directed.
  • Order office supplies and make travel arrangements for MEC officers and committees.
  • Answer phones, receive visitors, and provide general information or route inquiries appropriately.
  • Schedule couriers and manage incoming mail according to office procedures.
  • Communicate regularly with member pilots, officers, and committees.

Requirements

  • Secondary School Diploma (SSD) or equivalent required; post-secondary education preferred.
  • Two years of related experience preferred but not required; equivalent education and experience may be considered.
  • Customer/member service experience is strongly preferred.
  • Ability to transcribe, take fast notes, and/or shorthand is strongly preferred.
  • Experience with web-based applications is preferred.
  • Solid verbal and written communication skills, with diplomacy and tact for effective interaction with all levels of contacts.
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Ability to work a flexible schedule on short notice.

Nice-to-haves

  • Experience in event planning and coordination.
  • Familiarity with the aviation industry or union environments.
