About the position

The Administrative Assistant plays a crucial role in providing outstanding customer service and supporting various administrative functions within the organization. This position involves managing executive calendars, processing orders, maintaining sales records, and ensuring compliance with internal control standards. The role requires multitasking abilities and a commitment to upholding company policies while assisting in special events and departmental needs.

Responsibilities

  • Provide outstanding customer service to guests and employees.
  • Process incoming orders via phone or email for all 29 Palms BOMI Brands.
  • Check data accuracy in orders and invoices, working directly with Accounts Receivable.
  • Contact customers to obtain missing information and answer queries.
  • Prepare, maintain, and update sales records and compile monthly sales reports.
  • Liaise with Logistics to ensure timely deliveries.
  • Handle all Jira and HotSos requests with follow-through.
  • Manage Executive's calendars and set up meetings.
  • Make travel and accommodation arrangements.
  • Prepare expense reports and credit card reconciliation.
  • Communicate important feedback from customers internally.
  • Ensure sales targets are met and report any deviations.
  • Keep abreast of competitive changes including industry trends.
  • Organize and maintain the office filing system.
  • Assist and organize for Golf Tournaments, Sponsorships, and other Special Events.
  • Assist Department Managers with scheduling and HR-related issues.
  • Order and maintain office supplies.
  • Adjust weekly work schedule hours based on business needs.
  • Manage all administrative projects.
  • Ensure compliance with Minimum Internal Control Standards (MICS) and Tribal Internal Control Standards (TICS).
  • Present a positive image of the Tribal organization to guests and vendors.
  • Follow all safety policies and procedures and attend scheduled safety meetings.

Requirements

  • High School Diploma or G.E.D equivalent.
  • Minimum one year of administrative experience.
  • Ability to pass periodic random drug screens.
  • Ability to pass background suitability investigation.
  • Obtain a Tribal Gaming License and other applicable certifications.
