About the position

The Administrative Assistant will provide essential support to the Office & Purchasing Manager and other staff members. This role involves managing office operations, ensuring effective communication, and maintaining a safe and organized work environment. The position requires a proactive approach to customer service, inventory management, and compliance with safety standards.

Responsibilities

  • Provide support to the Office & Purchasing Manager and other staff as required.
  • Sort and distribute U.S. mail and manage overnight deliveries and shipments.
  • Handle incoming and outgoing telephone calls professionally and efficiently.
  • Maintain entry control and visitor screening at the front gate call box.
  • Ensure proper PPE is available in the lobby area for visitors and vendors.
  • Provide excellent customer service to internal and external customers.
  • Manage supply inventory and order office supplies as needed.
  • Oversee the functionality of office equipment and schedule maintenance.
  • Use accounting/purchasing software for material requisition and purchasing functions.
  • Maintain daily data input and other plant information.
  • Comply with all state and federal laws, policies, and regulations.
  • Promote a safe work environment by adhering to safety programs and policies.
  • Maintain accurate schedules and reports for Co-Products.
  • Communicate effectively with the Office & Purchasing Manager regarding work functions.
  • Provide feedback within the team to foster collaboration and trust.
  • Attend meetings and training to stay updated on policies and procedures.
  • Assist in developing and adhering to department budgets.
  • Maintain organized accounting and filing systems within the department.
  • Plan meetings, lunches, and employee functions as required.

Requirements

  • High School Diploma or equivalent.
  • Minimum 3 years of office administration experience.
  • Valid driver's license.
  • Strong oral and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient in using phone/voicemail systems and computer software including Word, Outlook, and Excel.
  • Ability to learn and utilize an Enterprise System Software Package.
